Questions
What is a work order?
A numbered written instruction to perform a specific maintenance or repair job — what, where, by whom, and with what priority. It turns a request into tracked, accountable work.
What should a work order include?
A number and date, priority, a clear job title and description, location and access instructions, who requested and who's assigned, equipment and materials, cost limits, schedule, and a completion sign-off.
Work order vs. estimate?
An estimate proposes work and a price before approval; a work order authorizes and instructs the work after approval. An approved estimate typically becomes a work order.
What does “not to exceed” mean?
A spending cap: work is authorized up to that amount, and anything beyond requires written approval first. It protects both sides from surprise bills.
Who signs a work order?
The technician who performed the work and the requester who accepts it — the sign-off closes the loop and documents the work was done as ordered.

If the job turns out bigger than the order, that is a change order — written before the work, not argued about after it.
Before this work order goes to an outside contractor, the COI tracker is where you find out whether their insurance is still current — dispatching a vendor whose certificate lapsed is the cheapest mistake on this page to avoid.
Two more checks before some jobs go out. If it involves welding, cutting, grinding or torch work, it needs a hot work permit first. If it disturbs paint in a building put up before 1978, the lead rule may decide who is allowed to do it at all.
